PHU BAO DESTINATIONS & EVENTS’ CUSTOMER PRIVATE POLICY

PLEASE MAKE SURE THAT YOU HAVE READ, UNDERSTOOD AND AGREED WITH ALL TERMS AND CONDITIONS BEFORE PAYMENT.

This special private agreement encloses between Phu Bao Destinations & Events (a member of Phu Bao Group, hereinafter referred to as “PBDE”, “we”, “us”) collects, stores and handles, and the term “you”, “customer” and “passenger” who agree to purchase this package tour and any other touring services on this website.

Your purchase of tour package or any related services (hereinafter referred to as the services) offered on this website and our booking confirmations shall form a legal agreement between you and PBDE. All communications, booking correspondence (by email, or fax, etc.) between us shall be considered as mutual binding/agreements and it will be effective immediately after we confirmed the services.

You must acknowledge that you have reviewed and accepted these terms and conditions before completing your purchase.

  • HOW TO MAKE A BOOKING

    Passenger login the website and complete the reservation form on our website. Besides, you can drop us an email with your detailed requirements.

    PBDE team will try to reply to you within 48 – 72 working hours after receiving your requests.

    Please note that your booking will only be confirmed when completing full payment.

  • PRICES
    • Adult

      Double/Twin occupancy price is applied for two (2) adults sharing one (1) room.

      Single occupancy will be charged with a single supplement cost. Maximum 01 child (below 12 years old) can be accommodated in single room (if any).

      Triple room can accommodate maximum 3 adults or 2 adults + 1 child under 12 years old or 1 adult and 2 children under 12 years old.

      Triple room is subject to availability and quite limited. PBDE might stop selling this room at any time without prior notification when it’s fully booked.

      The prices of the service are displayed in US Dollars. It may be changed into equivalent Vietnam Dong at the official exchange rate of Vietcombank Vietnam on the day of payment.

    • Children

      Unless otherwise indicated, children prices will be applied for kids from 2 to 11 years old during the trip. Maximum one (1) child under 12 years old can share a room with two (2) adults without extra bed.

      Normally, children will enjoy some discount from accommodation, transportation and meals. Children are under 6 years old may not enjoy private seat on the coach and have to share meals with parent.

      Infants under 2 years old traveling with parents will be complimentary and except for an air fare, they have to incur an infant airfare stipulated by the airlines

      Children are 12 years old and above considered as adult.

      Please provide us with your children passport information/copy to enjoy children rate.

  • TRAVEL ITINERARY

    In case divided into small groups, PBDE is not responsible for travel date of Group A or Group B option. It will be designated and assigned by your administration. You are allowed to choose your tour start date and you have to take full responsibility of your choice. (In case you wish to change your travel date, please email us at info@phubaotours.com.vn but not later than 3 months prior to departure). We will check the space and revert to you if available.

  • VISA, PASSPORTS AND HEALTH REQUIREMENTS

    It is your responsibility to fulfil the passport, visa and other immigration requirements applicable to your itinerary. You should confirm these with the relevant embassies and/or consulates. PBDE does not accept any responsibility in the case you are unable to travel due to not complying with any such requirements and we may treat your booking as a cancellation with full charge.

    Also, please ensure your passport is valid more than 6 months from the date of return for every country you visit and ensure there is sufficient space in your passport to allow for all immigration procedures, taking note that all South East Asian countries require at least 2 blank pages, as they have a full page visa.

    Kindly note that visa service is not included in land cost. Please contact PBDE for any visa service or guidance. Please note general information is subject to change concerning visas from our part of the world.

    You must ensure that you are aware of any health requirements and recommended precautions relevant to your travel and ensure that you carry all necessary vaccination documentation. In some cases, failure to present required vaccination documentation (e.g. proof of Yellow Fever vaccination) may deny you entry into a country. We recommend that you consult with your local doctor, travel medical service or specialist vaccination clinic before commencing your tour.

  • AIRLINES & AIRPORT INFORMATION
    • Seat Assignment

      Seat assignment is not always possible in advance. The best way to secure a seat of your choice is to arrive at the airport early and request this at check in.

    • Airport Security

      Please be aware that our courtesy check in service is now limited due to the current world security climate. You must have an airline ticket to enter the check-in terminal. Some airports will stipulate that you must check in your own bags. We thank you for your understanding on this matter.

      Luggage allowance: Each airline has its own luggage allowance policy. You are advised to check your airline prior to travel since the below price is subject to change. All airlines now stipulate that liquids, gels and/or aerosols in hand luggage must be in completely closed containers of 3 Oz/100ml or less (even if the container is partially filled).

      Vietnam Airlines Luggage Allowance:
      Economy: 20kg (44 lbs.) checked baggage, 7kg (15.4 lbs.) cabin baggage
      Business: 30kg (66 lbs.) checked baggage, 7kg (15.4 lbs.) cabin baggage
      Excess baggage charge will be on your own cost

      Please note that PBDE will not be liable for any consequential loss or damage alleged due to any such refusal to carry or removal en route by the airlines as well as any additional fee you may incur because of flight cancellation, delay or rescheduled, missed flight after check-in formality at the airport.

  • PAYMENT
    • Payment

      The payment schedule is subject to change and notification will be sent to you via email or public in our website.

      You will receive this payment schedule when registering the tour and you’re responsible to have the payments settled by required date. For those who intentionally does not settle the payments by due date after our reminders (2 times) will be considered as booking cancellation and a charge will be applied accordingly per our stipulated policy. PBDE has a privilege to cancel your booking registration and charges as the cancellation policy.

    • Booking transfer and amendment

      After completing your registration and settling the payments successfully, the e-receipt will be sent to your email automatically. If you would like to change/amend any part of your confirmed services, it is subject to availability at that time and extra costs will be applied (if any)

      You have the right to transfer your confirmed booking to any relatives or friends with a written notification sending to us at least 120 days prior to arrival date and this transfer right is applied only one time.

      Any booking transfer or booking name amendment after 120 days prior to arrival date will be not accepted and PBDE will consider and treat it as a new registration/booking.

  • CANCELLATION POLICY
    • Cancellation by you

      All cancellations must be made in writing and acknowledged by PBDE. A cancellation charge will be applied for any cancellations according to the policies of hotels, airlines, cruises and other contractors of PBDE. The cancellation charge is described as follows:

      • Once paid deposits are non-refundable
      • Between 30 days to 15 days prior to departure day: 50% of the total amount
      • Between 14 days to 07 days prior to departure day: 85% of the total amount
      • Between 06 days - 0 days prior to departure day: 100% of the total amount

      No refunds will be made in respect of accommodation, meals, activities, transport or other services which are included in the tour price but, for whatever reason, are not utilized by you.

      Note: Depending on destination, airlines, hotels and cruise operator cancellation policies, the above cancellation policy is subject to change.

    • Cancellation by us

      The tours are planned in advance and due to factors outside our control it may be necessary to use alternative accommodation and services in some instances. We therefore reserve the right to modify or cancel any tour, accommodation or arrangement at any time. We will notify you as soon as possible of any material changes. In the event of any material modification or cancellation PBDE will, if possible, arrange on your behalf three alternatives:

      • Services of an equivalent or similar standard, if available;
      • Services of a lower standard together with a refund of the difference in price; or
      • Cancellation with a full refund of all money paid.

      A material modification is one which has a serious effect on your tour and includes a change of departure date, departure point or airport, or change of departure time of more than twelve hours, which would cause substantial inconvenience to you. A change of accommodation or transport style is not a material change. In the event that there are an insufficient number of bookings to provide a particular tour, we may cancel the tour no later than 30 days prior to the scheduled departure date, whereupon all money paid by you for your PBDE shall be refunded but no further compensation will be paid. You and PBDE agree to release each other from any further obligations which would have been enforceable had the tour not been cancelled.

  • SPECIAL REQUESTS

    We will try to accommodate any special requests in regards to hotel allocation and room assignment such as next door, connecting /adjoining room for your personal demand but it’s subject to hotel’s availability.

  • FORCE MAJEURE

    PBDE shall not be liable and make a reimbursement if any unforeseen performances happen such as acts of God, war or war-like operations, government restraint, disasters, political disturbance, strikes (except those involving the employees or agents of the party seeking the protection of this clause), civil disorder, curtailment of transportation facilities, health concerns such as SARS or bird flu (where by the World Health Organization [WHO] or any other cause whatsoever beyond our reasonable control.

  • INSURANCE

    PBDE will do everything possible to ensure a safe and enjoyable trip. However, all travel involves some degree of risk and we strongly recommend that you take out appropriate travel insurance for your adventure. Your insurance protection should include cover for cancellation, medical and repatriation expenses, personal injury and accident, death and loss of personal baggage and money and personal liability. Evidence of such insurances should be produced to PBDE on request. Insurance cover offered by credit card companies or reciprocal medical cover agreements are often not comprehensive.

  • INFORMATION RPOVISION AND PRIVACY

    We are committed to protecting your personal information and agree to handle your personal information in accordance with our Privacy Policy, which is available online at this website. By providing personal information to us, you agree that our Privacy Policy will apply to how we handle your personal information and you consent to us collecting, using and disclosing your personal information as detailed in our Privacy Policy.

    In particular, you agree that in certain circumstances we are permitted to disclose your personal information to overseas recipients. Such recipients may include the overseas travel service providers. These travel service providers will in most cases receive your personal information in the country in which they will provide a service to you or in which their business is based. We may also disclose your personal information to our overseas associated entities and to service providers who perform services for us. Generally, we will only disclose your personal information to these persons in connection with facilitation of your booking and/or to enable the performance of administrative and technical services by them on our behalf. Where we disclose your personal information to any person (including any overseas recipients), we will use reasonable efforts to ensure the recipient’s compliance with relevant privacy laws; however, you acknowledge that we cannot control the privacy practices of the recipient and therefore will not be liable or accountable for how the recipient handles your personal information. We encourage you to review the privacy policies of any third party service provider whose services we arrange on your behalf. When used above, “disclose” includes ‘to transfer, share, send, or otherwise make available or accessible to another person or entity’.

    Addition, we occasionally take photos during our tours for use in promotional material. Unless you advise us otherwise, you consent to such use of your photographic/video likeness.
